Privacy & Terms

How we handle your data and what you agree to when using Church Event Booking.

Your privacy is important to us

We are committed to handling your personal data responsibly, transparently and in line with UK GDPR. This policy explains what we collect, why, and how we keep it safe.

Our commitment: We will only collect personal data relevant to the services we provide. We handle it securely, retain it only as long as necessary, and will never sell your information to third parties.

Who we are

ChurchEventBooking.com is a private organisation headquartered in East Sussex, UK. We act as a Data Controller under UK GDPR, and are strongly committed to maintaining the privacy of your personal information and the security of our systems.

What data we collect

When you use our site and services we may collect:

  • Account information — name, email address, and password (hashed using Argon2ID)
  • Booking information — attendee details, number of adults and children
  • Children's profiles — names, dates of birth, allergens, medical details, and photo permissions (stored encrypted, visible only to you and the event organiser)
  • Usage information — pages visited, links clicked, date and time, IP address, browser type and device identifiers
  • Payment information — we do not store card details; these are handled entirely by Stripe

How we use your data

  • To create and manage your account securely
  • To process bookings and handle refunds
  • To share relevant booking information with the event organiser (including children's details where applicable)
  • To send booking confirmations and important account communications
  • To detect and prevent fraud or unauthorised access
  • To respond to support enquiries

Sharing your data

ChurchEventBooking.com acts as an agent (Data Controller) for event organisers on our site. When you book an event, we share only the information relevant to that booking with the organiser — including children's names, ages, permissions, allergens and medical information where the event involves children.

We do not sell your data to third parties. We may share data with Stripe for payment processing, and may forward support emails to the relevant event organiser where appropriate.

How we protect your data

All data transferred electronically is encrypted using industry-standard SSL (HTTPS). Sensitive data such as bank details are never stored by us — they are held directly by Stripe, a regulated payment institution. We cannot guarantee the security of third-party email providers or services you use to contact us.

Cookies

We use session cookies only — temporary files stored in your browser's memory that are deleted when you close your browser or log out. We do not use cookies to track you across third-party sites or to serve advertising. Cookies are necessary for the platform to function (keeping you logged in, maintaining your booking session). Disabling cookies will prevent you from using the service.

We also monitor network traffic to identify unauthorised attempts to access or modify information on our systems. Unauthorised access is strictly prohibited and may be punishable under law.

Your rights

Under UK GDPR you have the right to access, correct or request deletion of your personal data. To exercise these rights, please contact us via the support email in your account dashboard.

Changes to this policy

We may update this Privacy Policy from time to time. Continued use of our services following any update constitutes your acceptance of the revised policy.

Terms & Conditions

By signing up for a Creator account you agree to the following terms. Please read them carefully before proceeding.

Eligibility

You must be 18 or over to sign up for a Creator account. If you are acting on behalf of a church, charity or other organisation, you must have authority to enter into this agreement on their behalf.

Your responsibilities as an organiser

When attendees book through our platform, the contract to provide the event is between you and the attendee — ChurchEventBooking.com is facilitating that contract, not a party to it. You accept full liability for the event you are running, including any refunds arising from cancellations or changes.

If you cancel an event, change the date, alter ticket prices, or make any other material change, it is your responsibility to inform all attendees promptly.

Disclaimer & limitation of liability

You use this platform at your own risk. We do not guarantee uninterrupted or error-free access. We reserve the right to change or discontinue features at any time. To the extent permitted by law, our liability is limited to amounts paid by you in respect of the relevant services.

ChurchEventBooking.com disclaims liability for the acts, omissions or conduct of any event organisers, third-party users, or promoters on the site.

Indemnity

You agree to fully indemnify and hold ChurchEventBooking.com harmless against any costs, losses or damages arising from your use of the platform or any breach of these terms.

Encouraged events

Events organised by churches and Christian groups that promote fellowship, community and faith.

Prohibited events

Lotteries, gambling, fantasy sports leagues with cash prizes, or any events requiring a licence you do not hold. Adult-natured events, illegal events, or events organised to commit fraud or obtain customer data under false pretences. Events operated by criminal organisations.
